COMMUNITY STANDARDS, CODE OF CONDUCT &

• Luxe Dance Studio is committed to providing a safe, respectful, inclusive and enjoyable environment.
• This policy applies to participants, students, parents, guests, instructors, volunteers, contractors and visitors.
• The purpose of this policy is to protect participant wellbeing, studio culture, community safety and business operations.

EXPECTED STANDARDS OF BEHAVIOUR

• Repeated attempts to engage with individuals who do not wish to engage may be considered inappropriate conduct.
SOCIAL DANCE ETIQUETTE
• No person is obligated to dance with any particular individual.
• Partner selection is voluntary.
• Participants may accept or decline a dance invitation without explanation.
• Courtesy and respect must be shown regardless of whether a dance invitation is accepted.
• Personal disagreements should not be brought into studio activities.
• Studio representatives may intervene where behaviour impacts the safety, comfort or enjoyment of others.
RELATIONSHIPS & SOCIAL DYNAMICS
• Participants are responsible for managing personal emotions respectfully.
• Rejection, disappointment and interpersonal disagreements must be managed appropriately.
• Studio activities must not be used to pursue personal disputes.
• Participants must not pressure others regarding personal or social relationships.
UNACCEPTABLE CONDUCT
• Harassment or bullying.
• Intimidation or threatening behaviour.
• Verbal abuse.
• Aggressive or confrontational behaviour.
• Repeated unwanted contact with staff, instructors, volunteers or participants.
• Discrimination.
• Sexual harassment.
• Inappropriate comments regarding a person's appearance, body, gender, sexuality, race, age, disability, religion or personal circumstances.
• Gossiping or rumour spreading.
• Attempts to involve participants in personal disputes.
• Attempts to obtain personal information about others without consent.
• False, misleading or malicious allegations.
• Conduct that disrupts classes, lessons, workshops, social events or business operations.
• Behaviour that negatively impacts the safety, wellbeing or enjoyment of others.
COMMUNICATION STANDARDS
• Communication must remain respectful.
• Participants must allow reasonable time for responses.
• Abusive, aggressive or inappropriate communications will not be tolerated.
• Excessive, repetitive or unreasonable communications may not receive further responses.
• The studio may implement communication boundaries where necessary.
• Participants are expected to respect communication boundaries once implemented.
ONLINE & SOCIAL MEDIA CONDUCT
• Participants must communicate respectfully online.
• Participants must not harass, intimidate or target others online.
• Participants must not publish false or misleading information.
• Participants must not use online platforms to continue disputes involving the studio or its participants.
• Confidential information must not be shared online.
PRIVACY & CONFIDENTIALITY
• Personal information of participants, instructors, volunteers and contractors is confidential.
• Contact details will not be shared without consent.
• Participants must not seek personal information about others without permission.
• The studio reserves the right to refuse requests for confidential information.
COMPLAINTS PROCESS
• Complaints should be submitted in writing.
• The studio may seek clarification where required.
• Not all complaints require formal investigation.
• The studio reserves the right to determine whether a matter falls within its authority.
• The studio may determine that no further action is required.
• Repeated complaints regarding matters already addressed may not receive further responses.
• The studio reserves the right to close matters that have already been addressed.
CHILD SAFETY
• Luxe Dance Studio is committed to maintaining a child-safe environment.
• All adults are expected to follow child-safe practices.
• Professional boundaries must be maintained.
• Concerns regarding child safety should be reported immediately.
HEALTH, SAFETY & WELLBEING
• Participants must follow safety directions.
• Behaviour that places others at risk may result in intervention or removal.
• Appropriate action may be taken where behaviour negatively impacts wellbeing.
PROTECTION OF STAFF, INSTRUCTORS & VOLUNTEERS
• Behaviour that impacts the wellbeing or safety of staff may result in restrictions or removal.
• Staff and instructors are entitled to professional boundaries.
AUTHORITY OF MANAGEMENT
• Decisions relating to participant conduct remain at the discretion of Luxe Dance Studio management.
• Management may implement communication restrictions, suspensions or removals where required.
• Management decisions relating to safety and wellbeing are final.
SUSPENSION OR REMOVAL
• Participation may be suspended, restricted or terminated where behaviour is disruptive, inappropriate, unsafe, harassing, intimidating or inconsistent with studio values.
• Action taken will depend on the nature and seriousness of the conduct.
RIGHT TO REFUSE SERVICE
• Luxe Dance Studio reserves the right to refuse enrollment, attendance, participation or service.
• This right may be exercised where necessary to protect participants, staff, instructors, volunteers, business operations or community wellbeing.
ACCEPTANCE
• Attendance at any Luxe Dance Studio class, lesson, workshop, event, performance or program constitutes acceptance of this policy.
• Luxe Dance Studio reserves the right to amend this policy from time to time.

• Applies to email, telephone calls, text messages, social media messages, online platforms, in-person
communication and written correspondence.
3. COMMUNICATION PRINCIPLES
• Communication should be respectful.
• Communication should be professional.
• Communication should be constructive.
• Communication should be honest.
• Communication should be relevant to studio activities.
• Communication should be free from harassment, intimidation or abuse.
4. BUSINESS COMMUNICATION HOURS
• Messages may be received outside business hours.
• Responses may not be provided until the next two available business days. During school holidays expect a long delay in response time.
• Studio management is not expected to respond immediately outside business hours.
5. EXPECTED COMMUNICATION STANDARDS
• Communicate respectfully.
• Use appropriate language.
• Allow reasonable time for responses.
• Raise concerns through appropriate channels.
• Respect management decisions.
• Maintain professional boundaries with instructors and staff.
6. UNACCEPTABLE COMMUNICATION
• Abusive language.
• Aggressive communication.
• Harassment.
• Threatening behaviour.
• Personal attacks.
• Repeated unwanted contact.
• Excessive messaging.
• Repetitive communication regarding matters already addressed.
• Communications intended to intimidate, pressure or distress others.
• False, misleading or malicious allegations.
• Attempts to involve other participants in personal disputes.
7. COMMUNICATION BOUNDARIES
• The studio may restrict communication to written correspondence.
• The studio may limit communication to specific topics.
• The studio may require communication through designated channels.
• The studio may decline to engage in repetitive discussions regarding matters already addressed.
• The studio may issue formal communication boundary notices.
7A. NO CONTACT DIRECTIONS
• Luxe Dance Studio reserves the right to issue a No Contact Direction where necessary to protect participant wellbeing, child safety, staff, instructors, volunteers, contractors, community safety or business operations.
• A No Contact Direction may be issued where communication is excessive, repetitive, harassing, intimidating, disruptive, distressing, inappropriate or detrimental to the wellbeing of others.
• The recipient must cease communication unless otherwise directed.
• The recipient must not contact staff, instructors, volunteers or contractors regarding studio matters.
• The recipient must not use third parties to communicate on their behalf.
• The recipient must not attempt to circumvent communication restrictions.
• The studio may document communications received after a No Contact Direction and refer them to external authorities where appropriate.
8. EXCESSIVE OR REPETITIVE COMMUNICATION
• The studio is not obligated to engage in ongoing correspondence regarding matters already considered, reviewed or addressed.
• The studio may decline further responses.
• The studio may implement communication restrictions.
• The studio may refer to previous correspondence.
• The studio may close the matter.
9. COMMUNICATION WITH STAFF, INSTRUCTORS & VOLUNTEERS
• Participants must respect professional boundaries.
• Participants must not seek personal information about staff, instructors or volunteers.
• Participants must not request personal contact details without consent.
• Participants must not contact staff through personal channels unless invited to do so.
10. ONLINE & SOCIAL MEDIA COMMUNICATION
• Participants must communicate respectfully online.
• Participants must not harass, intimidate or target others online.
• Participants must not publish false or misleading information.
• Participants must not continue disputes through social media.
• Participants must not share confidential information.
11. COMPLAINTS COMMUNICATION
• Complaints should be submitted respectfully and through appropriate channels.
• The studio reserves the right to determine whether a complaint falls within its authority.
• The studio may determine whether additional information is required.
• The studio may determine whether further investigation is necessary.
• The studio may determine whether a matter has been resolved.
• The submission of a complaint does not prevent Luxe Dance Studio from implementing communication
boundaries, participation restrictions, suspension, removal or No Contact Directions where necessary.
• The studio reserves the right to determine that no further action is required.
• Repeated complaints regarding matters already addressed may not receive further responses.
• The studio reserves the right to close matters that have already been addressed.
12. FAILURE TO COMPLY
• Verbal reminder.
• Written warning.
• Communication restrictions.
• Suspension from activities.
• Removal from activities.
• Termination of participation.
• Referral to external authorities where appropriate.
13. RIGHT TO PROTECT STAFF & BUSINESS OPERATIONS
• The studio has a right to protect participants, children, parents, instructors, volunteers, contractors, staff and business operations.
13A. VEXATIOUS, FRIVOLOUS OR MALICIOUS COMPLAINTS
• The studio welcomes genuine complaints made in good faith.
• The studio may take appropriate action where a complaint or communication is frivolous, vexatious, malicious, repetitive, made for an improper purpose, intended to harass, intimidate or distress another person, or intended to interfere with studio operations.
• The studio may discontinue engagement regarding complaints that have been adequately considered and addressed.
14. ACCEPTANCE
• Participation in any Luxe Dance Studio activity constitutes acceptance of this policy.
• Luxe Dance Studio reserves the right to amend this policy from time to time.

PHOTOGRAPHY, VIDEO & MEDIA POLICY

3. PHOTOGRAPHY & VIDEO RECORDING
• Luxe Dance Studio may take photographs and short video recordings during studio activities.
• Photography and video recording may be undertaken by authorised staff, instructors, volunteers, contractors or approved media representatives.
4. PURPOSE OF PHOTOGRAPHY & VIDEO
• Social media content
• Website content
• Advertising and marketing
• Promotional material• Studio newsletters
• Event promotion
• Community engagement activities
• Grant applications
• Funding applications
• Internal event documentation
• Studio archives and historical records
5. GENERAL EVENT PHOTOGRAPHY
• General photography and short videos may be recorded during classes, workshops, social dances, performances, community programs and special events.
• Attendance at studio activities acknowledges that general event photography may occur.
6. OPTING OUT
• Participants who do not wish to appear in photographs or videos should notify a member of staff prior to or during the activity.
• Luxe Dance Studio will make reasonable efforts to accommodate such requests.
7. CHILDREN & YOUNG PEOPLE
• Additional care will be taken when photographing or recording children.
• Parent or guardian consent may be obtained where required.
• Child safety obligations will be observed at all times.
• The welfare and safety of children will always take priority over media collection.
8. RETIREMENT VILLAGES, AGED CARE & COMMUNITY PROGRAMS
• Venue-specific photography, privacy and consent requirements will be respected and followed.
9. NDIS PARTICIPANTS & VULNERABLE PERSONS
• Additional care will be taken to ensure dignity, privacy and consent considerations are respected.
10. PARTICIPANT PHOTOGRAPHY
• Participants may take personal photographs and videos provided the privacy of others is respected.
• Images must not be used to harass, embarrass or target another person.
• Venue requirements and staff directions must be followed.
11. SOCIAL MEDIA EXPECTATIONS
• Participants must not publish content intended to harass, intimidate or embarrass others.
• Participants must not publish misleading information.
• Participants must not use photographs or videos to continue disputes.
• Participants must not use studio content in a manner that damages the reputation of participants, instructors, volunteers or the studio.
12. STORAGE OF MEDIA
• Luxe Dance Studio may retain photographs and videos for historical, promotional, administrative and business purposes.
• Reasonable steps will be taken to protect media content from unauthorised access.
13. MEDIA REMOVAL REQUESTS
• Requests for removal of photographs or videos may be made to studio management.
• Each request will be considered individually.
• The studio reserves the right to determine whether removal is appropriate.
14. MANAGEMENT AUTHORITY
• The studio may restrict photography or recording.
• The studio may remove inappropriate content.
• The studio may require compliance with this policy.
• The studio may refuse photography or recording where necessary.
• The studio may take action where media use negatively impacts participant wellbeing or studio operations.
15. ACCEPTANCE
• Attendance at any Luxe Dance Studio activity constitutes acceptance of this policy.

REFUND, CANCELLATION & CREDIT POLICY
Effective Date: 16/06/2026
1. PURPOSE
• Provide clear expectations regarding bookings, cancellations, credits and refunds.
• Support fair and consistent administration of Luxe Dance Studio services and events.
2. SCOPE
• This policy applies to private lessons, wedding dance lessons, group classes, workshops, courses, social
dances and special events conducted by Luxe Dance Studio.
3. PRIVATE LESSONS
• A minimum of 24 hours notice is required to cancel or reschedule a private lesson.
• Cancellations made with less than 24 hours notice will incur the full lesson fee.
• Failure to attend a booked lesson without notice will incur the full lesson fee.
4. WEDDING DANCE LESSONS
• A minimum of 24 hours notice is required to cancel or reschedule a wedding dance lesson.
• Cancellations made with less than 24 hours notice will incur the full lesson fee.
• Failure to attend a booked lesson without notice will incur the full lesson fee.
5. GROUP CLASSES & COURSES
• Group class and course fees are non-refundable.
• Missed classes are not refundable.
• Luxe Dance Studio is not obligated to provide make-up classes, credits or refunds for missed classes.
6. SOCIAL DANCES & EVENTS
• Tickets purchased for social dances, social events, workshops and special events are non-refundable.
• Failure to attend an event does not entitle a participant to a refund, transfer or credit unless otherwise determined by Luxe Dance Studio.
7. STUDIO CANCELLATIONS
• If Luxe Dance Studio cancels a lesson, class, course or event, participants may be offered a replacement class, credit, transfer or refund at the studio's discretion.
8. EXCEPTIONAL CIRCUMSTANCES
• Luxe Dance Studio may consider exceptional circumstances on a case-by-case basis.
• Any exception granted does not create an ongoing entitlement or precedent.
9. MANAGEMENT AUTHORITY
• Luxe Dance Studio reserves the right to determine the most appropriate outcome regarding cancellations, credits and refunds.
• Management decisions relating to this policy are final.
10. ACCEPTANCE
• Booking or attending any Luxe Dance Studio lesson, class, course, workshop or event constitutes acceptance of this policy.
• Luxe Dance Studio reserves the right to amend this policy from time to time.

• Maintain appropriate professional boundaries.
• Use age-appropriate language and behaviour.

4. UNACCEPTABLE BEHAVIOURS
• Bullying, intimidation or harassment.
• Inappropriate physical contact.
• Inappropriate communication.
• Humiliation, ridicule or shaming.
• Discriminatory behaviour.
• Any conduct that may place a child at risk.
5. CHILD PARTICIPATION & VOICE
• Children are encouraged to express their views and opinions.
• Children are encouraged to raise concerns about their safety or wellbeing.
• Children will be listened to respectfully.
• Children will never be discouraged from speaking up.
6. PHYSICAL CONTACT IN DANCE INSTRUCTION
• Limited physical guidance may occasionally be used for posture, alignment, technique, movement and safety.
• Any physical contact must be appropriate, respectful, professional and necessary for instruction.
• Instructors should explain the purpose of physical guidance where possible.
• The comfort, dignity and wellbeing of participants will always be respected.
7. PRIVATE LESSONS & ONE-ON-ONE INSTRUCTION
• Lessons should take place in an open, observable and professional environment.
• Parents or guardians are encouraged to remain nearby or observe where appropriate.
• Professional boundaries must be maintained at all times.
• Reasonable steps will be taken to minimise situations where an adult is isolated with a child.
8. SUPERVISION & COLLECTION OF CHILDREN
• Reasonable supervision will be maintained during activities.
• Parents and guardians remain responsible for children before and after scheduled activities unless otherwise advised.
• Children should be collected promptly following activities.
9. COMMUNICATION WITH CHILDREN
• Communication must be professional, transparent and related to studio activities.
• Private or secretive communication with children is not permitted.
• Communication should occur through appropriate channels.
10. ONLINE SAFETY
• Online interactions involving children must be appropriate and professional.
• Children should not be exposed to inappropriate content through studio activities.
• Online communication must support child safety and wellbeing.
11. PHOTOGRAPHY & VIDEO
• Photography and video involving children will be managed in accordance with the Luxe Photography, Video & Media Policy.
• Additional consent requirements may apply.
• Child safety considerations will take priority over media collection.
12. WORKING WITH CHILDREN REQUIREMENTS
• Relevant instructors, volunteers and personnel will maintain Working With Children Check requirements where required by law.
13. INCLUSION & DIVERSITY
• All children have the right to participate free from discrimination.
• Luxe Dance Studio welcomes children from diverse backgrounds and abilities.
• Children will be treated fairly and respectfully.
14. REPORTING CHILD SAFETY CONCERNS
• Any child safety concern should be reported to studio management as soon as possible.
• Concerns will be taken seriously and responded to appropriately.
• Records may be maintained in accordance with studio policies.
15. MANAGEMENT AUTHORITY
• Luxe Dance Studio may implement safety measures where concerns arise.
• The studio may restrict participation, remove individuals from activities or refer matters to external authorities where appropriate.
• Management decisions relating to child safety are final.

3. RESPECT FOR OTHERS
• Treat all attendees with courtesy and respect.
• Be welcoming and inclusive.

4. DANCE INVITATIONS
• No person is obligated to dance with any particular individual.
• Dance invitations may be accepted or declined without explanation.
• A declined dance invitation must be respected.
• Participants should respond graciously whether a dance invitation is accepted or declined.
• Repeated requests after a decline may be considered inappropriate.
5. PARTNER SELECTION
• Participants are free to choose their dance partners.
• Do not pressure another person to dance.
• Do not demand dances from others.• Do not become confrontational if a dance invitation is declined.
• Do not attempt to influence another participant's partner choices.
6. PERSONAL BOUNDARIES
• Respect personal space.
• Respect physical boundaries.
• Respect emotional boundaries.
• Be mindful of individual comfort levels.
• Any participant who indicates discomfort should be respected immediately.
7. APPROPRIATE CONDUCT
• Use respectful language.
• Conduct yourself appropriately.
• Manage disappointment respectfully.
• Maintain good sportsmanship.
• Refrain from behaviour that disrupts the enjoyment of others.
8. INAPPROPRIATE CONDUCT
• Harassment.
• Bullying.
• Intimidation.

• Excessive focus on another participant.

9. PERSONAL RELATIONSHIPS
• Manage personal relationships appropriately.
• Do not use studio events to pursue personal disputes.
• Do not pressure others regarding friendships or relationships.
• Do not create conflict involving other participants.
• Do not continue interpersonal disagreements at studio activities.
9A. MANAGING REJECTION & DISAPPOINTMENT
• Accept that not every dance invitation will be accepted.
• Respect the choices and boundaries of others.
• Manage disappointment respectfully and appropriately.
• Avoid placing pressure on others for attention, dances, friendships or social interactions.
• Avoid repeatedly raising concerns relating to personal rejection or interpersonal matters.
• Manage emotional responses in a way that does not negatively impact others.
• Management may intervene where interpersonal conflict impacts the studio environment.
10. ALCOHOL & SUBSTANCE USE
• Participants must not attend events while affected by alcohol or substances in a manner that impacts behavior, safety or the enjoyment of others.
• Management reserves the right to remove any person whose behaviour is considered inappropriate or unsafe.
11. HYGIENE & PRESENTATION
• Maintain good personal hygiene.
• Wear appropriate footwear.
• Wear suitable dance attire.
• Consider the comfort of dance partners.
12. PHOTOGRAPHY, VIDEO & SOCIAL MEDIA
• Luxe Dance Studio may take photographs and short video recordings during classes, private lessons,
workshops, social dances, performances, demonstrations, community programs and special events.
• Images and recordings may be used for social media, website content, marketing, promotional purposes,
internal event documentation, studio archives and historical records.
• General photography and short videos may be recorded during classes, workshops, social dances, performances, community programs and special events for promotional purposes and to document activities internally.
• If you prefer not to be photographed or recorded, please notify a member of staff prior to or during the activity.

• Participants are expected to respect the privacy of others.
• Participants should obtain consent where appropriate.
• Participants should behave respectfully online when discussing studio activities.
• Participants must refrain from posting content intended to harass, intimidate or embarrass others.
• Where children, vulnerable persons or external organisations are involved, Luxe Dance Studio will comply with any additional consent, privacy or photography requirements applicable to that program or venue.
13. MANAGEMENT AUTHORITY
• Management may provide behavioural reminders.
• Management may intervene where necessary.
• Management may implement safety measures.
• Management may restrict participation.
• Management may remove participants from events.
• Management may refuse future attendance.
• Management decisions relating to participant wellbeing, safety and the studio environment are final.
14. COMMUNITY WELLBEING
• Luxe Dance Studio prioritises the wellbeing of participants, children, instructors, volunteers, guests and community members.
• Appropriate action may be taken where behaviour negatively impacts community wellbeing.
15. ACCEPTANCE
• Attendance at any Luxe Dance Studio social dance, workshop, practice session or community event
constitutes acceptance of this policy.
• Luxe Dance Studio reserves the right to amend this policy from time to time.
